Terms and Conditions

These terms and conditions are applied in cases where a customer or a client uses, registers, or purchases services from Finnbrit.

There are specific terms and conditions for some of our services. These services are:

  • Cambridge assessments
  • IELTS
  • Language lessons: scheduled courses, Business English training for companies, and private lessons
  • Membership
  • Examination services, including Cambridge Admissions testing
  • Other services – Meeting room rental, proofreading, and translation

In general, students and test takers must be over 18 years of age. If a student is below 18 years of age, a parent / guardian permission note may be required. Social events and clubs may be attended by persons below 18 years of age with a parent / guardian.

Each test taker / student / member / person attending a social event is responsible for their own personal insurance.

Sometimes Finnbrit or our representatives take photographs and videos during our courses or events which may be used for promotional purposes.  Please advise us if you do not wish to appear in any promotional activity.

Finnbrit reserves the right to change these terms and conditions at any time.

Payment Service Provider+

All purchases made via our website are done through Paytrail.

Paytrail Plc acts as a collecting payment service provider and is an authorized Payment Institution. Paytrail Plc will be shown as the recipient on your bank or credit card statement.

Paytrail Plc will forward the payment to the merchant. For reclamations, please contact the website the payment was made to.

Payment options+

You can pay for our services online using services provided by our payment service provider, Paytrail:

  • Directly via your bank
  • By using your credit card
  • With an invoice by choosing ‘Collector’
    • You can pay the entire amount due at once, or
    • You can pay the amount due in several parts

In circumstances where payment via the website is not possible, we will issue an invoice.

Lessons and exams are to be paid before taking the lessons or exams. Please see ‘invoicing terms for companies and organisations’ below for further information.

Business English for companies and organisations+

These are agreed on a quotation basis. Invoicing terms can vary and are confirmed at the time of quotation. However, typically, the terms are as follows for:

English lessons:

  • If the total amount due is 3000€ or less, payment is due one week before the start date.
  • If the total amount due is 3000€ or more, 50% of the amount maybe be requested up to 4 weeks before the course start date. The remaining 50% is expected before the start date.

Cancellations and refunds:

If the amount due is not paid by the due date, we understand that your plans have changed and that the contract between us is cancelled / terminated.

If you wish to cancel your purchase after partial / full payment is made but before delivery of services, we will deduct the costs we have already incurred, typically a minimum of 20% of the payment(s) made, an administration fee of 75€ and an invoicing transaction fee (10€) from the refund.

Cambridge Assessment+

Absence

Contact the Finnbrit office immediately if you think you are not well enough to take the test. A medical note is required for a request for partial refund.

Cancellation

You can cancel your registration for the examination provided at least two weeks’ notice is given (see ‘Refund’).

If you cancel your registration less than two weeks before the exam, you will not be entitled to a refund. Neither will you be eligible for a refund if you do not attend on the day of the examination or are deemed absent, unless a doctor’s certificate is provided to support your absence.

Finnbrit aims to provide you with the best possible exam experience. Therefore, at our discretion, we may have to cancel an examination session at times. If an examination session is cancelled by Finnbrit and you have paid for the examination already, you are entitled to a full refund.

Complaints

If you wish to make a complaint, you must do so in writing before you leave the test venue.

Enquiries and appeals

If a candidate believes that their exam result is not fair, they must contact their examination centre immediately. Their centre can then ask Cambridge English Qualifications for an enquiry or an appeal. There is a fee for this service.

Other expenses

The test taker is responsible for their own travel and other costs related to taking the exam.

Payment

The exam is paid in full before taking the test through the Paytrail service on the Finnbrit website.

Refund

If you are entitled to a refund, your exam fee will be refunded to you minus an administration charge of €75.

Test day

Candidates must follow the advice and instructions given for the test day, about the appropriate documents and equipment to bring, leave personal belongings outside the test room, and consent to have their photograph taken. Any candidate who fails to comply with the test day guidance will not be allowed to sit the test and will not be entitled to a refund.

IELTS+

These terms and conditions are in addition to those you have agreed to with the British Council when registering for your test session. See IELTS for UKVI below for the terms and conditions of the IELTS for UKVI tests.

Absence

If you do not attend the test on the day of your test booking, you are not eligible for a refund.

If you do not attend the speaking test at the time specified to you, you will not be able to complete the test, will not receive a test result form, and you will be deemed absent.

Cancellation

You can cancel your IELTS test booking provided at least 10 days’ notice is given; please see the ‘Refund’ section below. If you cancel your IELTS test booking less than 10 days before the test, you will not be entitled to a refund.

Complaints

If you wish to make a complaint, you must do so in writing before you leave the test venue.

Enquiry on Results (EOR)

You can request to have your test papers remarked. Please apply for a re-mark at your original test centre within six weeks of the test date. There is a fee for this service.

The test taker is responsible for their own travel and other costs related to taking the test.

The test is paid in full before taking the test through the Paytrail service on the Finnbrit website.

Refund

You are eligible for a partial refund if you cancel your test and give Finnbrit at least 10 days’ notice.

In case you think you are not well enough to take the test, please contact the Finnbrit office immediately. A medical note is required for a refund request.

If you are entitled to a refund, your test fee will be refunded to you minus an administration charge of 75€.

On rare occasions, there may be instances where you are unable to attend your test or are disadvantaged on the test day owing to illness, injury, or another exceptional event outside your control and you no longer qualify for a standard cancellation, refund or transfer close to the test date. In these cases, including instances such as bereavement, civil unrest or domestic crisis, you may make an application to your test centre for special consideration due to exceptional circumstances. Under certain circumstances outside of test centre control, we may have to cancel your test and transfer it to a future date. These circumstances include, but may not be limited to, extreme weather conditions, natural disaster, civil unrest, industrial action, global pandemic or for reasons of force majeure.

In these circumstances, your test centre will provide you with as much notice as possible and give you the choice of either a full refund, or a transfer to a future test date – whichever you prefer.

If your test is cancelled or postponed due to other circumstances such as technical failure, venue or environmental factors, your test centre will provide you with as much notice as possible and give you the choice of a refund or a transfer to a future test.

Test day

Candidates must follow the advice and instructions given for the test day, about the appropriate documents and equipment to bring, leave personal belongings outside the test room, and consent to have their photograph taken. Any candidate who fails to comply with the test day guidance will not be allowed to sit the test and will not be entitled to a refund.

Transfers

You can transfer your IELTS test booking to a future date provided that at least 10 days’ notice is given; subject to availability of places at any future test. There is no charge for transferring your test booking once. After one transfer you will be obliged to take the test or cancel it subject to the rules of cancellation (See ‘Cancellation’).

IELTS for UKVI

IELTS for UKVI has specific global terms and conditions, which are different from those of other IELTS tests. Please click here for IELTS for UKVI terms and conditions.

Language lessons: scheduled courses, Business English lessons for companies and private lessons+

Absence

Courses: Please contact the Finnbrit office immediately if you think you are not well enough to attend the remaining lessons on the course. A medical note is required for a request for a partial refund.

Business English lessons for companies and private lessons: If the student(s) is/are not able to take the lesson(s) agreed, the student / client representative must cancel the lesson(s) a day before the lesson by noon 12:00. Otherwise the lessons are deemed as held and will be charged.

Cancellation

Students can cancel a course enrolment without charge seven (7) days prior to the start of the course. For a cancellation made less than seven (7) days prior to the start of the course we will charge 50% of the original course price. A cancellation must always be made in writing by email. Participants who do not attend and do not send a cancellation email will pay the full price of the course. Please see refunds and transfers below.

Courses are filled in the order of enrolment.  If the maximum class size is reached, we will propose a transfer to another course to the “wait-listed” students or carry out level testing to divide the group in two. Finnbrit reserves the right to cancel a course in case the minimum number of participants (6) is not reached. Please see refunds and transfers below.

Course delivery

The course is delivered as indicated on the course description (time, delivery method). Finnbrit has the right to change or substitute the teacher, and change the delivery method.

Course includes

The scheduled course includes tuition, guided and structured self-study, feedback and a certificate of attendance – provided that the student has been present for 70% of the lessons. The certificate of attendance will be sent to the student upon request. Course books are not included in the course fees.

IPR

Intellectual Property Rights (IPR) to all materials on the courses are owned by Finnbrit  and remain so indefinitely.

Other expenses

The student is responsible for his/her own travel and other costs related to studying on the course which includes purchasing books, using his / her computer and online meeting tools. Please also note that if the student wishes to take a language test, this needs to be purchased separately in our web shop.

Payment

Scheduled courses: The course is paid in full after the first lesson has taken place at the latest.

Private lessons: As agreed. Often either before the lesson, or 50% before the course and 50% in the middle of the course, when agreed to several lessons.

Payment terms

As per the payment terms of the chosen payment method. The payment must be received by Finnbrit two days after the first lesson has taken place.

Refunds

In case of illness which prevents attendance, we will return the course fee with a deduction of €75 euros for administrative costs provided that the office is presented with a doctor’s certificate.

We will refund your payment in full if the course does not take place due to Finnbrit cancelling the course.

Transfers

In the event that a student enrols on a course that is not suitable for their level of competence, we will propose another course for the student. If we agree on the transfer, the student will pay or be refunded for any difference in price.

Validity

For private lessons, our proposals are valid for one month.

Membership+

Validity of your membership

Your membership is valid from the date you become a member to the end of the ongoing membership year. The membership year starts annually on 1 July and ends on 30 June. Full payment is due regardless of the time remaining in the current membership year when you join or renew your membership.

Updating Your Membership Record

Updating your membership record ensures you receive Finnbrit information in a timely manner.

To update your membership record, simply login using your membership login. You will automatically be redirected to your membership profile where you can see your existing information. Simply update if necessary, then click ‘Update’.

Your updated details help us contact you in a timely manner about important changes in our services, operations or policies.

Renewing your membership

We will send you a reminder message to renew your membership at the beginning of June. You will have a month to renew your membership and continue to enjoy the benefits. In order that your benefits continue without interruption, we encourage you to visit our webpage immediately after receiving the message, selecting the membership type that applies to you and making the membership payment easily and securely via our web shop payment methods.

Terminating your membership
There is no need to terminate your membership, it expires at the end of your membership year. For lifetime members, the membership runs out when the person passes away.

If at the end of the year, you do not wish to renew your membership, we ask you to think again! Finnbrit promotes inclusiveness, diversity and continuous lifelong learning. Studies have shown that inclusiveness provides a psychological safe haven that is a prerequisite for lifelong learning. Furthermore, diversity enables us to consider new perspectives and co-create innovative ideas. Learning a new language can encourage social interaction, creativity, innovation, resilience and agility in today’s rapidly changing world. In addition, particularly studying languages helps a person to be more creative, innovative, resilient and agile in today’s changing world with its diverse requirements.

Our objective is to encourage all our members to participate in Finnbrit events either as a volunteer helper or as a guest. The more we are, the more we can further our objectives together.

As an active member you are supporting Finnbrit’s mission, values and aims and helping us to contribute to the social and cultural life of the city.

Refunds

There are no refunds for membership payments.

The room rental is valid for the time agreed.

Prices are agreed per hour, in writing, usually by email.

We expect you to comply with our “leave no trace” practice. If there is a need for cleaning services after room rental, we will charge the cleaning service cost from you.
